+ PILGRIMAGE AT A GLANCE

WHEN IS IT? The conference will be held Nov 19-21st.  We will travel Nov 18th and return Nov. 22nd.

 

WHO CAN GO?

All youth must be in 9th-12thgrade during the 2009-10 school year to attend as a youth participant with their adult chaperones.

 

Chaperone to youth ratio is 1:5. Chaperones must be over 21, provide proof of Virtus Training and be screened using the forms provided. Every parish group must have a minimum of 2 chaperones.

 

Young Adults: Those between 18-20 who have graduated from high school and act in a leadership capacity within a parish youth ministry program on a regular basis are invited to register as adult leaders but cannot be counted toward the chaperone ratio.  They must comply with Protecting God’s Children policy.

 

Protecting God’s Children:  All adults, 18 and up, must show compliance with the Protecting God’s Children policy.  A copy of the Virtus attendance certificate and the date of completion should be sent to Mary Ellen Ewers-Peña, x 24 by e-mail:  meepena@clevelandcatholiccharities.org or the address:  Youth & Young Adult Ministry & CYO Office, 7911 Detroit Avenue, Cleveland, OH  44102

 

HOW WILL WE GET THERE?

 

The Cleveland Diocese will be traveling by motor coach to Kansas City.  This is a 13-hour drive.  These coaches will provide daily transportation between the hotels and convention venue.  Due to the expense of securing travel, this is the only option provided with this pilgrimage. 

 

Hotels are assigned by NFCYM.  While it is our hope to lodge all diocesan pilgrims in one hotel we cannot guarantee this.  Parish members will be lodged together whenever possible.  It is foreseeable that our lodging may be outside the downtown area.  Watch for web updates.

HOW MUCH?

The Diocesan Pilgrimage Package is priced at $585.00 per person for both youth and adults.   The package includes: Motorcoach transportation to and from Kansas City as well as daily service to and from the convention venue; NCYC Conference Fees; Lodging; Taxes; Pilgrimage Prayer Resources; and a T-shirt for each pilgrim. 

Scholarships funds are available in limited supply. Please apply early. 

HOW TO SIGN UP?

v     Between January 1 and March 15, 2009, submit Form A to YYAM Office with $90 per person deposit is required.  Space is limited and will be filled on a first-come, first-served basis Deposits are non refundable. 

v     Once Form A is received by the YYAM Office, the diocesan leader will receive an excel spreadsheet via email to track their individual registrations.  Hardcopies are available upon request for those without computer access.

v     Apply for Youth Animator Program as desired, see deadlines. 

v     Apply for scholarships, see deadlines.

v     Gather signed NCYC Liability Waivers and Diocesan Medical Release forms for all youth participants and adult chaperones. Submit to YYAM Office by June 29, 2009.

v     Complete parish housing request (Form B) and return to YYAM Office by June 29, 2009.  $200 pp payment is due.

v     Submit adult chaperones Virtus material to YYAM Office by June 29, 2009 for verification.

v     Keep track of payments using the Final Payment Worksheet.  Submit Form J with final payment to YYAM Office by September 1, 2009.

You must make and keep copies of all forms submitted to the Diocesan Office, including all waivers and medical forms.  Please consult with your parish leadership to determine if a parish-specific permission forms are required.  The YYAM Office does not need copies of any parish forms you may develop.
